Are you ready to step into a dynamic role where you can make a real impact? Ranpak Automation, a division of Ranpak BV, is seeking a proactive Back Office Service Employee/Assistant to ensure smooth operations and uphold our commitment to exceptional service.

Purpose: Manage all back office service tasks and supervise their proper execution.
Scope: This position is within the Service EMEA department of Ranpak Automation, with a focus on overseeing daily back office service operations.
Reporting: You will report directly to the Manager Spare Parts & Field Service of Ranpak Automation Service.

Responsibilities:

  • Provide support in the proper and timely execution of all back-office tasks.
  • Take ownership of administrative tasks for Automation Service, including service reports and timesheets.
  • Prepare service orders for invoicing, ensuring accuracy in work hours, travel, accommodation, and spare parts.
  • Ensure compliance with rules and guidelines among service staff.
  • Maintain professional relationships with third-party service providers.
  • Actively contribute to the professionalism and profitability of our service organization.

Main Tasks:

  • Establish and maintain procedures, working instructions, and checklists for the back-office service team and Field Service Engineers.
  • Collaborate closely with the Field Service Supervisor and Service Planner.
  • Coordinate with Automation Operation for support and assistance.
  • Assist in creating and following up on quotes for service visits.
  • Process approved quotations into service work orders in SAP.
  • Prepare invoicing for all services with assistance from relevant departments/colleagues.
  • Cultivate professional relationships with customers and third-party providers.
  • Generate weekly service call reports and provide in-depth analyses of service performance.
  • Receive and process requests from Project Managers and the Field Service Supervisor to ensure seamless cooperation within the operational team.

Profile:

  • Mid-level proficiency in administration, with experience in a service back office environment or equivalent knowledge/experience.
  • Strong verbal and written communication skills in English and Dutch/German (additional languages are a plus).
  • Ability to maintain a calm demeanor with customers and coworkers.
  • Well-organized with a professional work ethic.
  • Above-average proficiency in computer applications such as SAP, Word, and Excel.
  • Flexible mindset with no 9-5 mentality.
